Vehicle and fleet management company, LeasePlan, is part of a global organisation. The company’s payroll application was outdated and it wanted to move from manual to automated processes. The new system also had to eliminate human error, save time and – ultimately – save money. Additionally, there was the need to meet financial regulatory requirements.
The Solution
LeasePlan sought an IT partner to meet these needs. The provider had to have proven experience in this area as the company did not want implementation errors or headaches – the roll out had to be seamless.

We provided LeasePlan with our enterprise cloud payroll and self-service offering, DataPay and DataESS, which made it easier for the company and staff to access information and to fill out leave applications online. It also meant the need to fill out paper forms was eliminated.
The four-week implementation process was flawless. It also identified some issues that the legacy system had, and the Datacom was able to quickly fix these problems.
Our team also trained LeasePlan staff on the new systems, as they moved from the tired, older system. While staff found that DataPay was very different to its legacy processes, they were still able to reduce the time spent processing payroll by 50% on the first payrun.

Results
The customisation of DataPay has saved hours of time spent – payroll used to take one full day; this has dropped to one to two hours since first implementation.
Reports now take minutes versus hours.
